Multi-Office Programs

Offices Outside the United States

One photographer for every office, including the ones your headquarters runs abroad.

A company with a Toronto, London or Mexico City office has the same problem it has with Dallas or Chicago: the headshots stop matching the moment a different photographer shows up. The Multi-Office Program treats the offices outside the United States as stops on the same tour, with the same lighting recipe, the same coaching and the same retoucher, so the people page reads as one company wherever the office is.

How it works is plain. The program is booked through your US headquarters, and before anyone travels we confirm the entry, work authorization, equipment-import and tax requirements that apply in that country. Where the destination permits the work under a business-visitor or other applicable exemption, Henry travels with the required documentation, the professional equipment is documented for temporary import where an ATA Carnet or other customs procedure applies, and the office is photographed to the same standard as every US site. Canada, the United Kingdom and Mexico are the offices asked about most. Airfare, lodging and ground transport appear as line items on the proposal, the same way they do for a company-wide program at home. A direct engagement by a non-US entity is scoped differently, so tell us who is booking before we plan the trip.

Offices with no travel date on the calendar are not left out. Remote and overseas staff get the same live virtual coaching and studio-match retouching that in-person sessions get, so nobody is the odd frame on the team page.

Multi-office work on record

  • IWR North America and MHS Legacy50+ team members across two brands and two visual systems, nationwide
  • Merrill Lynch4 offices team kickoffs in Springfield, Clayton, Kansas City, and Olathe, Kansas, each a matching group and individual set

Every figure here appears on the linked case study. Nothing on this page claims a shoot that has not happened.

One Fly-In Photographer Beats a Network of Locals

Convenience in each city costs you the match across cities.

Consistent Look

Every location gets the same lighting, posing, and editing style. Your visual brand stays cohesive.

No Quality Variance

No risk of a subcontractor delivering subpar work at a remote office. Same quality, everywhere.

One Point of Contact

One relationship, one invoice, one person who knows your brand. You manage zero local vendors.

Institutional Knowledge

We learn your brand once and carry that understanding to every location and every shoot.

Virtual Coaching for Remote Teams

Fully remote employees get live virtual sessions and studio-match retouching so their headshots match the in-person shots exactly.

Portrait Stations at Annual Meetings

When your team is already converging on one city for a summit, annual meeting, or offsite, we set up an on-site portrait station and photograph everyone in a day or two.

Cost Effective at Scale

For multi-location organizations, one traveling photographer is often more cost-effective than hiring locally at each site.

Procurement-Ready

We onboard through your vendor system the same way at every site. MSA and SOW templates, current COI, and a W-9 on request.

Ready to Scale

One vendor for your entire national photography program. No vendor handoffs, no fragmented invoicing.

Nationwide Travel Questions, Answered

Travel costs, scheduling, and how offices get grouped.

How does the fly-in model work?
We fly to your location with a complete portable studio, including professional lighting, backdrops, and all necessary equipment. You provide a space to set up, and we handle everything else. Your team never has to leave the office.
What is the minimum team size for a fly-in session?
There is no strict minimum, but fly-in sessions are most cost-effective for teams of 15 or more. For smaller groups, we can often coordinate your session with other nearby clients to share travel costs.
Can you photograph multiple offices on one trip?
Yes. We coordinate multi-city trips that group two or three offices into a single week, so one set of travel costs covers several sites. That is how the Multi-Office Program is scheduled, and it is ideal for organizations with offices in nearby metro areas.
How do you maintain consistency across locations?
One photographer means one consistent style. We use the same equipment, lighting setup, and editing process at every location, ensuring a cohesive look across your entire organization regardless of where each office is located.
What about employees who are fully remote?
For remote team members who are not in a location we can fly to, we run live virtual coaching sessions on smartphone capture (lighting, background, posing) and then retouch the results to match the exact color, tone, and background of the in-person studio shots. Everyone ends up in the same visual system regardless of where they work.
What if someone is camera-shy?
Expert expression coaching and simple, specific direction. We demonstrate every pose rather than just saying 'smile,' and most people walk away saying 'that was easier than I expected.' Real-time review on a tethered monitor also helps anxious team members see themselves looking good before the session ends.
Can employees choose multiple looks?
Yes. For executives or anyone using their headshot across LinkedIn, internal tools, press kits, and speaker pages, we recommend bringing several wardrobe options and capturing multiple looks in one session.
What procurement documentation do you provide?
W-9, certificate of insurance (COI), vendor registration forms, MSA and SOW templates, and any other procurement documentation your organization requires. We have onboarded through Fortune 500 procurement processes and can adapt to your standards.
How far in advance should we book multi-city sessions?
For multi-location projects, we recommend 4-6 weeks lead time to coordinate schedules across offices. Single-location trips can often be arranged within 1-2 weeks. For annual programs, we recommend planning quarterly schedules in advance.
Can you photograph everyone during our annual meeting or leadership summit?
Yes. For distributed companies this is often the most efficient option. When the whole team is already converging on one city, we set up a professional portrait station at the event venue and run every attendee through between sessions. A nationwide multi-city travel plan compressed into a day or two of on-site work.
Do you ever subcontract to local photographers?
No. Never. Henry David photographs every engagement in every city personally. The fly-in model exists specifically to avoid the inconsistency that comes with distributed subcontractor networks.
Can you photograph our offices outside the United States?
Yes, when the program is booked through your US headquarters. For an office outside the US we structure the engagement through the headquarters and confirm the applicable entry, work authorization, equipment-import and tax requirements for that country before travel. Where the destination permits the work under a business-visitor or other applicable exemption, Henry travels with the required documentation and the equipment documented for temporary import, and the office is photographed to the same standard as your US sites. Airfare, lodging and ground transport are listed as line items on the proposal. A direct engagement by a non-US entity is scoped differently, so tell us who is booking before we plan the trip.
Is this the Multi-Office Program?
Yes. The Multi-Office Program covers 300 or more people across two to six cities, scheduled as a tour that reaches two to three cities inside a single week. Henry photographs every session. Producers and production assistants join under his direction on larger days, so the schedule holds. The lighting recipe, the coaching, and the retouching stay identical at every site. Send the city list and the headcount at each site and we coordinate the route, the schedule and the delivery with your team.
